Connect work, not just channels
WhatsApp, Telegram and email serve different customer habits. A CRM should preserve the context needed to respond without forcing the team to search every channel manually. That does not mean every account or message history should be copied into a new database.
Start with the public contact actions and the internal ownership model. Distinguish a public Telegram contact from an administrative bot. They may belong to the same business but have different audiences and permissions.
Choose the integration depth explicitly
| Level | What it provides | What it does not prove |
|---|---|---|
| Contact link | Opens a conversation with the business | Message capture in the CRM |
| Internal notification | Alerts staff about a saved enquiry | Two-way customer messaging |
| Approved channel integration | Connects supported events and replies | Access to every account or historical message |
| Unified workspace | Links authorised conversations to records | Universal delivery or identity matching |
Verify the provider’s supported APIs, account requirements, permissions and terms before promising two-way automation. A website button alone is not an integration with a customer’s personal inbox.
Keep a durable business record
Save the enquiry before sending an internal alert. Include a record identifier and a limited summary, with a link to the authorised workspace. Avoid broadcasting private details into a large chat group by default.
Define who can link a staff account to the bot and how that access is revoked. Administrative commands must check the server role on each action. Confirmation buttons should name the record and mutation they will perform.
Make delivery failure visible
Retry supported transient failures without duplicating business actions. Keep notification status separate from lead status. A failed alert does not mean the original enquiry was not saved.
Review integrations and bots alongside the CRM workflow. The success criterion is that an authorised person can find the request and respond through an appropriate channel.
A practical question
Does a WhatsApp link synchronise messages into a CRM?
No. A contact link opens a channel. Capturing authorised messages requires a supported provider integration, identity rules and an agreed data-handling workflow.
